Core principles:

  • Sequence by safety, then by cost-spread. Safety-critical items (brakes, tires, steering, suspension, fluid leaks, anything red on the last DVI) lead the calendar — Month 1 or Month 2 at latest. Reliability and PM items get spread across the remaining months so the customer's monthly cost stays close to their stated budget. Never park a safety item in Month 9 just to balance the budget.
  • Cluster by appointment, not by line item. A brake job and a brake-fluid flush belong in the same month, not separate months. An alignment belongs the same day as new tires.   5. Sequence the calendar. Month 1: any safety-critical item from the open declined list, plus any PM that's already overdue. Month 2: remaining safety-critical, plus the next PM cluster. Months 3–12: spread reliability and PM by clustering compatible operations into the same visit, by aligning to seasonal or commute constraints (brakes before winter, A/C service before summer, alignment with any tire change), and by honoring the budget signal.   6. Build the calendar table. Common Pitfalls

  • Treating the plan like a 12-month coupon book. The plan earns conversion by being honest and helpful, not by stacking discounts. Keep any incentives sparing and tied to a clear behavior (e.g., book Month 1 within 14 days).
  • Cluster fail. Putting the alignment in a different month from the new tires, or the brake-fluid flush in a different month from the brake job. Always cluster by labor opportunity.
  • Stale pricing carry-forward. A 90-day-old quote is not today's price. Re-quote.
