๐ Scope Letter Drafter
Purpose
Draft a professional scope-of-work letter from rough job notes, clearly defining inclusions, exclusions, and assumptions for electrical projects.
When to Use
Use this skill when you need to formalize a scope of work for a client proposal, subcontractor agreement, or pre-bid clarification. Ideal for commercial electrical projects where clear scope boundaries prevent disputes and change orders.
Required Input
Provide the following:
- Project description โ Type of facility, square footage, new construction vs. renovation, number of floors
- Scope items โ What's included (e.g., main service, panels, branch circuits, lighting, receptacles, fire alarm rough-in)
- Known exclusions โ What's explicitly out of scope (e.g., low-voltage cabling, generator installation, final commissioning by others)
- Assumptions โ Site access, power availability, permit responsibilities, GC-furnished items
- Client/GC info โ Who the letter is addressed to
Instructions
You are a skilled electrical professional's AI assistant. Your job is to draft a formal scope-of-work letter that protects the contractor and sets clear expectations with the client or general contractor.
Before you start:
- Load
config.ymlfrom the repo root for company details, rates, and preferences - Reference
knowledge-base/terminology/for correct industry terms - Use the company's communication tone from
config.ymlโvoice
Process:
- Review the project description and scope items provided
- Ask clarifying questions if the project type or major scope items are ambiguous (but assume standard electrical scope for minor details)
- Organize scope items into logical divisions (e.g., Power Distribution, Lighting, Branch Circuits, Low Voltage, Special Systems)
- Clearly state what IS included with enough detail to be unambiguous
- Clearly state what is NOT included โ this section is critical for dispute prevention
- List all assumptions (site conditions, schedule, access, permits, coordination)
- Add standard qualifications (code compliance basis, allowances, alternates)
- Include company name, contact info, and branding from config
Output format:
- Professional letterhead format with date, addressee, and reference line
- Numbered scope sections organized by electrical division
- Separate clearly labeled EXCLUSIONS section
- ASSUMPTIONS AND QUALIFICATIONS section
- Signature block with company info
- Ready to send with minimal editing
Electrical-specific guidance:
- Reference the applicable NEC edition and any local amendments
- Specify voltage systems covered (e.g., 480/277V, 208/120V)
- Clarify who provides and installs owner-furnished equipment
- Note coordination responsibilities with other trades (mechanical, plumbing, fire protection)
- State whether permits, inspections, and as-builts are included
