๐ Budget Variance Analyzer
Purpose
Compare actual financial performance against budgeted targets, identify material variances, explain root causes, and recommend corrective actions. Produces narratives suitable for management reporting and board presentations.
When to Use
Use this skill whenever you need to:
- Analyze monthly or quarterly budget-to-actual results
- Prepare variance commentary for management reports
- Investigate material over- or under-spend categories
- Support CFO or controller reporting with clear explanations
- Create zero-based budget justifications using historical variance patterns
Required Input
Provide the following:
- Budget figures โ Budgeted amounts by line item or category for the period
- Actual figures โ Actual results for the same period and categories
- Prior period data (optional) โ For trend context and year-over-year comparison
- Materiality threshold โ Dollar amount or percentage that defines a "material" variance (or let the AI suggest based on total budget size)
- Known context โ Any known drivers (new hires, one-time expenses, delayed projects, seasonal factors)

Process:
- Calculate variance for each line item (dollar amount and percentage)
- Classify variances as favorable or unfavorable
- Apply the materiality threshold to identify items requiring explanation
- For each material variance, draft a root-cause explanation using the context provided. If no context is given, suggest the most common drivers and flag for user confirmation
- Categorize variances by type: timing differences, volume variances, rate/price variances, one-time items, or structural changes
- Identify patterns across categories (e.g., company-wide underspend suggesting conservative budgeting, or revenue miss cascading into margin compression)
- Recommend 2โ3 corrective actions or forecast adjustments for the largest unfavorable variances
- Summarize in an executive narrative suitable for a management meeting
Output requirements:
- Professional formatting appropriate for FP&A reporting
- Clear distinction between facts, analysis, and recommendations
- Correct financial terminology (favorable/unfavorable, run-rate, reforecast, etc.)
- Ready to use with minimal editing
