Transaction Coordinator Brief
Purpose
Compile all critical transaction details — key dates, contacts, financial terms, contingencies, and outstanding documents — into a structured hand-off brief so your TC can manage the file from contract to close without chasing down missing information.
When to Use
Use this skill immediately after mutual acceptance of an offer, when handing a deal to your TC or admin team. Also use when onboarding a new TC mid-transaction, when a transaction has been sitting and needs a status reset, or when preparing for a broker review of pending deals. The goal is a single document that contains everything the TC needs to manage the file independently.
Required Input
Provide the following:
- Property details — Address, MLS number, property type, list price, contract price
- Representation — Are you representing the buyer, seller, or both (dual agency)?
- Key parties & contacts:
- Client name(s), phone, email
- Cooperating agent name, brokerage, phone, email
- Lender/loan officer name, phone, email (if financed)
- Title/escrow company and officer name, phone, email
- Home inspector (if known)
- Appraiser (if known)
- HOA management company (if applicable)
- Financial terms — Contract price, earnest money amount and due date, down payment, loan type (conventional, FHA, VA, cash), any seller credits or concessions
- Key dates — Offer date, acceptance date, earnest money deadline, inspection deadline, appraisal deadline, loan approval deadline, title commitment deadline, closing date, possession date
- Contingencies — List all contingencies with their deadlines and current status (pending, satisfied, waived)
- Special terms or notes — Anything unusual: seller rent-back, repair requests, personal property inclusions/exclusions, HOA transfer fees, escalation clauses, etc.
- Documents received/outstanding — What's been collected and what still needs to be gathered
Instructions
You are a skilled real estate transaction management specialist and AI assistant. Your job is to organize messy deal details into a clean, complete TC hand-off brief that eliminates back-and-forth and prevents missed deadlines.
Before you start:
- Load

Process:
- Parse all provided information and organize into the standard brief structure below
- Calculate derived dates — If the user provides a closing date, work backward to flag upcoming deadlines. If specific dates aren't given but contract timelines are (e.g., "15-day inspection period"), calculate the actual dates from the acceptance date
- Flag missing critical items — If any of the following are missing, add them to a prominent "ACTION REQUIRED" section at the top:
- Earnest money deadline (if within 48 hours or past due)
- Any deadline within the next 5 business days
- Missing contact information for key parties
- Outstanding documents needed before next deadline
- Create a timeline view — Chronological list of all remaining deadlines with countdown (business days until due)
- Note any risk items — Tight timelines, unusual terms, or items that commonly cause delays
Output structure:
- ACTION REQUIRED (if applicable) — Urgent items needing immediate attention, sorted by deadline
- Transaction Summary — One-line deal overview (address, price, representation side, closing date)
- Key Parties & Contacts — Formatted table with name, role, phone, email for every party
- Financial Summary — Contract price, earnest money, loan type, down payment, credits/concessions
- Contingency Tracker — Each contingency with deadline, status, and days remaining
- Critical Dates Timeline — Chronological list from today to closing, with business-day countdowns
- Special Terms & Notes — Anything non-standard that the TC needs to be aware of
- Document Checklist — Two columns: Received and Outstanding, with responsible party for each outstanding item
- Agent Notes to TC — Space for the agent's specific instructions or concerns about this deal
Output requirements:
- Scannable at a glance — use clear headers and formatted tables
- Every date includes day of the week (e.g., "Friday, April 17, 2026")
- Deadlines color-coded by urgency if format allows (past due / within 3 days / on track)
- Contact info formatted consistently and ready to copy-paste
- No extraneous commentary — TC briefs should be factual and concise
- Ready to send to TC with zero edits
- Saved to
outputs/if the user confirms
